Sales - Licensee - Create Invoice

You will first need to select the DSN of the licensee you wish to create an invoice for. After selecting the DSN in the first dropdown, the list of invoices will populate in the second dropdown. Each invoice will show a status (New, Open, Sold, or Deleted). It will also populate the address of the licensee, the comment you have entered for this licensee (if you have one), and the expiration date of the licensee's DSN.

New Invoice

When you select the new invoice option, a new invoice will be created. The buttons and features work the same way as for an Open invoice and are described in the section below.

Open Invoice

When you select an open invoice, you will be able to view, modify, sell, or delete an open invoice. After you select the invoice number in the dropdown, the items already on the invoice will populate for you to review.
There is a dropdown of your available products, select the desired product in the dropdown, enter the quantity to add in the text box, and click on Add to Invoice to add products to the invoice. To return an item use a - (minus sign) when adding the quantity.
When you have more than one item on an invoice, you will have the option to delete a line from the invoice by clicking on the Delete button. This will remove all bottles of that single item from the invoice.
Each item on the invoice has a text box for the quantity. You can change any of the quantities in these text boxes. After you do so, you will need to click on the Update All button to update the totals and save your changes.
Clicking on the Delete Invoice button will delete the entire invoice.
After selecting the appropriate sales date using the Sell On: dropdown, you can sell the invoice by clicking on the Sell Invoice button.
The Print Invoice link lets you print a copy of the invoice for the licensee's records. This invoice will open in a new tab in your browser.

Potential Warning Messages

If you enter sales for more bottles of an item than are recorded for your store, you will receive a warning like this:
Invoice is for the sale of 1 bottles of code 19476. This is more than you have on hand.
Although you receive a warning, you will still be able to sell the invoice in this situation.

Sold Invoice

When you select a sold invoice, the invoice will load and display the following information: one line for each product sold containing the description, size, NABCA code, bottles sold, purchase/return type, price, and the current number of bottles available. It will also show the total number of bottles on the invoice and the grand total dollar amount of the invoice. Additionally, the date that the invoice was created and the date that the invoice was sold will be displayed. There is also a link to Print Invoice that allows you to re-print a sold invoice.

Deleted Invoice

When you select a deleted invoice, the invoice will load and display the following information: one line for each product from the invoice containing the description, size, NABCA code, bottles sold, purchase/return type, price, and the current number of bottles available. It will also show the total number of bottles on the invoice and the grand total dollar amount of the invoice. Additionally, the date that the invoice was created will be displayed. There is also a link to Print Invoice that allows you to re-print the invoice.
